HR Assistant

The International Committee of the Red Cross (ICRC) is an impartial, neutral and independent organization whose exclusively humanitarian mission is to protect the lives and dignity of victims of war and internal violence and to provide them with assistance. It also endeavours to prevent suffering by promoting and strengthening humanitarian law and universal humanitarian principles.

The ICRC South Sudan HR team is looking to add a professional HR Assistant to its team in Juba. The role of the HR assistant is to provide support to management and staff throughout the employee lifecycle.

Functional Responsibilities

  • Provides general secretarial and administrative support (updating staff files and contracts, handling correspondence, registration and filing, etc.).
  • Provides administrative follow-up for recruitment.
  • Ensures that information on HR issues under their responsibility is shared within the rest of the delegation (or mission, etc.).
  • Keeps records (e.g. absences) and ensures that HR data is of good quality and kept up to date, particularly regarding salary.
  • Carries out procedures related to local HR practice, taxes and social security.
  • Ensures that HR processes and policies are understood and correctly applied;
  • Monitors and ensures compliance with local labour laws and staff regulations;
  • Ensures that new employees are welcomed and well-integrated, applying professional onboarding approaches and following up on probation objectives;
  • In coordination with HR Officer, ensures the effective implementation of HR activities and policies;
  • In absent of HR Officer, collaborates with Juba HR in specific HR processes/tasks whenever needed;

Certification/ Experience

  • A diploma or equivalent degree in human resources, secretariat, office or commercial management. Some college coursework completed, or an Associated degree is an asset
  • 3-5 years’ experience in human resources, administration, office or service management, client or public relations, or in a field related to the work of the department
  • Fluent in English (any other language is an asset) and competent in conversing/writing in Arabic
  • Computer literate, with excellent knowledge of MS Office software
  • Excellent knowledge and application of the South Sudan Labour Act 2017
  • Strong communication and interpersonal skills with proven flexibility of style in a multi-cultural organization.
  • Demonstrates strong collaboration with line managers and staff representatives
  • Able to demonstrate a proactive approach with good planning and follow up
