EVENT MANAGEMENT SERVICES ON BRAC@50 CELEBRATIONS IN SOUTH SUDAN

TERMS OF REFERENCE

  1. Summary

BRAC International is seeking a strategic and creative partner to conceptualise and execute celebratory events to mark 50 years of BRAC. The agency/firm will be responsible for creative development, planning, and executing a gala event in Juba, South Sudan.

  1. BRAC @ 50 Celebrations and its Objectives

The year 2022 is a milestone for BRAC. We commemorate 50 years since our founding and the legacy of our Founder, Sir Fazle Hasan Abed. All BRAC International countries will organise events to celebrate this occasion in their unique way, keeping the essence of BRAC 50 at its heart. It will be a prominent event that will include stakeholders from the Government, other development organisations and financial institutions. The main objective is to demonstrate the impact of BRAC on communities through a formal event.

  1. About BRAC

BRAC is an international development organisation founded in Bangladesh in 1972 that partners with over 100 million people living with inequality and poverty globally to create sustainable opportunities to realise potential. BRAC’s community-led, holistic approach is reflected in its unique integrated development model, which brings together social development, social enterprises and humanitarian response for lasting, systemic change. BRAC is born and proven in the south and has become a world leader in developing and implementing cost-effective, evidence-based programmes at scale, with a particular focus on communities in marginalised, extremely poor or post-disaster settings across Asia and Africa. BRAC first expanded its operations outside of Bangladesh in 2002 and directly implements programmes in nine countries in Asia and Africa with offices in Kenya, USA, UK and The Netherlands.

  1. A Need for Event Manager and Scope of Work

BRAC South Sudan is therefore looking for a qualified company or business firm or an individual dealing with Events Management to manage this event. Working closely with the BRAC Committee, the appointed event manager will undertake the following tasks:-

  1. To plan and execute the high-level celebratory event to demonstrate the BRAC impact in South Sudan;
  2. Venue and protocol management
  3. Documentation of the event, photography and video

The agency/firm will be responsible for everything related to the design and production of the events, including venue branding, event setup including lights and sound, decor, entertainment, MCs, and media engagement before and during the event, and overall event planning and management. BRAC will provide concepts and preliminary designs adapted according to each country’s context. At every step, the BRAC International communications team will support by providing feedback and any required additional information.

  1. Key Audience

The event will have 80 guests from BRAC International’s partners and peer organisations, investors and donors, government representatives, Bangladeshi diaspora, clients and staff.

  1. Deliverables

Event planning and management involve being in charge of all the technical aspects of the event - setup, decor and branding, sound and lighting, photography, entertainment, hiring and briefing of MCs, engaging suppliers and service providers etc.

The appointed event manager will have to deliver the following:-

  1. An inception plan (design of event concept) which contains a 3D design of venue, execution modality and timelines based on BRAC’s vision and ideas in close collaboration with BRAC International’s communications team;

  2. Venue branding and decor materials adapted to the South Sudan context

  3. Successful execution of the event;

  4. Video of the event of 03 minutes, including a Photo CD

  5. Event Report

  6. Invitation for Proposals

Interested and qualified companies or individuals are invited to provide their proposals consists of the following:-

  1. Technical proposal (event design, implementation methodology, number of technical staff to be used and their qualifications and experience; timeline to complete the task and any other value-adding service that may be provided

  2. Financial Proposal.

  3. Company profile and regulatory documents (business licence and tax related documents)

  4. Description of the company experience through past similar assignments

  5. In case of an individual, a concise Curriculum Vitae and demonstration of experience in managing similar high-level events.
