HR/Admin Assistant - DanChurchAid

DanChurchAid (DCA) is looking for an experienced Human Resources and Administration Assistant. The position is a (7) month position with the possibility of extension based on performance and donor funding. The position will based in the Juba with very minimum field visits whenever required.

DCA is working with local partners in South Sudan to assist the poorest of the poor with a focus on protection, combating hunger, working for peace and conflict mitigation and the safe removal of explosive remnants of war (EWR).

The Human Resources and Administration Assistant will work in close collaboration with the Senior HR/Admin Officer in effectively providing support to South Sudan office in areas of recruitment, data management (tracking national staff leave entitlements), contracts periods and liaising effectively and timely in processing of visa, alien registration and entry permit for both DCA visitors and expatriates.

The responsibilities of the Human Resources and Administration Assistant Include:

  • Maintaining the Human Resources Information System especially for staff contracts, payroll, leave record, and periodically updating the record, and whenever requested by the supervisor/line manager generate schedules or reports.
  • Act as a focal person for HR queries reception, and swiftly responding to the queries in consultation with Snr. HR/Admin Officer HR especially issues related national staffs’ salaries, annual leave, medical benefits, advertisement, recruitment, salaries and other benefits.
  • Ensuring advertisement is fully approved by Ministry of Labor and Human Resources Development authorities, and adequately circulate it on notice boards for wider outreach and catch of a bigger pool of resume’.
  • Creating permanent and temporary staff orientations schedules/batches, create time badges, and track probation end-dates. Ensure that that induction package contain required documents and necessary staff policies for DCA.
  • Managing official files for over 85 national staffs; ensuring staff official files are up to date for usage by HR team and whenever required for audit.
  • Assist staff in completing forms (education, leave, and exit clearance) and other documents while ensuring accuracy and consistency of information.
  • Accurately ensuring staffs who are entitled to medical insurance benefits fill in the corporate medical application form and submit the same to the medical provider for inclusion.
  • Conducting files audit in line with files checklist for personnel file and as per donors and audit requirements.
  • Ensuring that expatriates alien registrations, visas, certificates of good conducts are process timely at the various ministries.
  • Keeping all contractually and legal binding documents securely filed in soft and hard-copy. Ensuring uploading on DCA Intranet of all relevant documents.
  • Ensuring staffs have active DCA ID cards that must always be used and collected when staff separate with DCA.
  • Timely, request monthly airtime for all staffs and ensure visitor’s phones are sufficiently topped up.

We are looking for a colleague with the following qualifications:

  • Minimum of 2-years’ proven work experience as an HR and Administrative Assistant
  • Diploma in Human Resources or relevant field;
  • Knowledge of South Sudan labor legislation;
  • Very strong communication skills (oral and written English);
  • Excellent organizational and time-management skills;
  • A team player with an open, compassionate, humorous disposition;
  • Flexible, patient and persistent personality;
  • Portable Computer literacy and experience especially MS Office applications (Word, Excel, Power Point, Outlook, etc.);
