World Vision is looking for a dynamic person to fill the position of People & Culture (HR) Officer, Payroll, Staff ‘Compensation and Benefits, (Man or Woman) in its Office, based in Juba, National Office.
PURPOSE OF THE POSITION:

To provide technical support in human resource management issues including payroll, staff compensation and benefits, staff medical insurance’ management and monthly reports. Communicate World Vision’s Christian ethos and demonstrate a quality of spiritual life that is an example to others.
MAIN RESPONSIBILITIES:

  • Payroll management

• Updating the master staff list in line with the staff changes provided on a monthly basis and ensures accuracy and consistency.
• Prepare accurate and monthly national staff payroll by the 25th of each month using the memory-soft payroll system and generate relevant payroll reports and pay-slips in tandem with the pay scale;

  • Staff Pay-slips
    • Arrange for and coordinate the timely dispatch of individual staff pay-slips on a monthly basis and return of relevant file copies where necessary;

  • End of service Staff Benefits
    • Management of the staff end of service benefits – calculations, process payment, ensures timely payment.

  • Income Tax
    • In coordination with Finance Team ensure timely monthly settlements of income Tax as per the requirements of local labor laws and the monthly pay slips are shared, signed and properly filed;

  • Management of Our People System:
    • Manage the staff database for all staff; keep it updated with all the changes.
    • Produce periodic staff reports generated from Our people
    • Train the staff on the maximum use of Our people system

  • Staff Benefits Management

• Preparing staff terminal benefits within the set timeline;
• Coordinating with Finance and ensuring that the staff have been paid;
• Handle all staff issues on benefits.

  • Staff Medical insurance Management

• Coordinating all the medical insurance issues;
• Reconciling with the Medical insurance company with the new staff and the staff who have left;
• Coordinate the medical insurance cards.

  • Reports
    • Prepares a monthly report detailing the achievements, challenges and plans as per established report writing guidelines.
  • Other
    • Special assignments as appropriate to the role;
    • Participate in staff spiritual nurture and capacity building initiatives.

• KNOWLEDGE, SKILLS, ABILITIES AND EXPERIENCE REQUIRED

The following knowledge, skills, and abilities may be acquired through a combination of formal schooling, self-education, prior experience or on-the-job training. Requires cross cultural experience, understanding and thoughtfulness.
 Minimum of Bachelor’s degree in Human Resource Management, Business Administration, commerce (HR option), Organizational Psychology, management science or other related field ;
 At least one year experience in an administrative and payroll management
 Details oriented and able to multi-task at the same time ;
 Thorough and accurate yet able to complete tasks and meet set deadlines.
 Ability to work with people ;
 Strong communication skills (both written and oral) – the ability to communicate information effectively ;
 Able to practice gender and cultural diversity ;
 Ability to build collaborative relationships ;
 A passion for achieving quality results and service ;

  • Good oral/written and interpersonal skills;

  • Able to work on a cross-cultural environment with a multi-national staffs.
